Quantum Loyalty – Hollywood Movie Money


The Challenge:  Improve profits through reduced costs during time of growth

Quantum Loyalty Systems, which focuses on pre-paid movie certificates redeemable at over 97% of US movie theaters needed to grow more strategically.  Average order sizes had dropped because many current customers had smaller promotional budgets due to economic slowdowns and new customers typically started out with smaller budgets. In addition, the company needed to improve its competitive advantage through reduced costs and improved service.

The Streamline Consulting Solution:  1.  Establish standarized pricing and processing for small orders, while creating prodecures that invite larger orders; 2.  Simplify and speed up inside processes

Quantum Loyalty Systems hired Streamline Consulting to assess and implement process improvements to enhance service levels and bottom line profits. Streamline Consulting performed an initial assessment to identify opportunities, and then three major changes were implemented:

1.  Pricing/Quotations:  Pricing had always required operations approval, resulting in slowed response times before a customer could receive a quoted price. The process was changed so customers could place small orders online or get quotes from sales people who quoted from price sheets. Moderate size orders were escalated to sales management, while only the largest orders required a full management and operations review. These new processes enabled the sales force to focus on finding and securing orders, rather than following up on approval processes. And more deals were closed, because quotes were delivered in a timely manner.

2. Invoicing:  The old procedure often used an invoice to prompt customers to make an order commitment – quantity, price and features – and to produce a purchase order.  Unfortunately, this created rework in accounting (accruals and reversals) and in operations, since tight timelines meant that work was often started based on the invoice, rather than waiting for the purchase order. By using the sales order for order commitments, both external and internal communication was improved and rework was significantly decreased. 

3. Workflow Tracking:  The original process relied on project managers armed with paper files to monitor all active orders, and log each order in the system to trigger the next task as the last one was completed.  By using an existing software program, the project manager now sets up tasks in a workflow module, and as tasks complete the next ones are automatically triggered.

The Result:  In just a few weeks, inexpensive process changes lead to major improvements Most orders are now priced and quoted and many are even sold immediately.  Even the largest orders are quoted in hours rather than days. In addition, the accounting staff was reduced by one third, while operations can now handle 20% more orders.
